How To Recall An Email In Outlook – Geeks Tech

Recall An Email In Outlook

It is simple to recall an email in Outlook. The desktop program contains a useful feature that allows you to recall and even replace a message that you didn’t want to send or that you want a second chance to rewrite. It’s simple but not always intuitive, so we’re here to walk you through how to recall an email (or message, as the program refers to them) in Outlook.

Remember that the web-based version of Outlook does not provide message recall; it is only available in the desktop client. They also only work if you and the recipient have the same Microsoft Exchange or Microsoft 365 account. Recalling messages in Outlook will not work if the receiver email address is not from the sender’s organization.

Recall An Email In Outlook

To recall email messages, you’ll need to use the desktop Outlook client, which isn’t too bad considering it’s one of the best email programs available. To begin, launch the newest version of the client and click Home.

STEP 1: Select Sent items from the left-hand menu to view your sent emails.

STEP 2: Double-click the Outlook message you want to recall. This will launch the email in a new tab.

STEP 3: In the email window, make sure the Message tab is chosen. Hover over Actions, then Recall this message, after selecting the three dots on the right side of the toolbar.

STEP 4: If you don’t see the three dots, Select Move from the tool bar, then Actions, and then Recall this message.

STEP 5: On your screen, a pop-up window appears. You have two choices here: delete all unread copies of this message or delete all unread copies and replace them with a new message. You can also have Outlook inform you if the process succeeds or fails. To proceed, select your option(s) and click the OK button. Congratulations if you erased the message! Continue if you want to replace it.

STEP 6: If you choose to generate a replacement, Outlook displays a second page where you can make changes to the message. Outlook recalls your prior message and provides a notification when you type your new email (if you selected that option). When you’re through with the revised message, simply click the Send button.

NOTE:

When you send a recall message, your old email does not disappear. The recipient may need to open the recall message first for the original message to disappear. This is why you should put URGENT, or something like in the title of the recall message so that it opens before the first abusive email. Continue reading for a more detailed explanation. Microsoft also adds that the recipient may be contacted in some situations when recalled messages are deleted from their inbox. Remember that even if you recall an email, the recipient may still be aware that a faulty or objectionable message was sent to them even if they can’t view it.

What to do if you can’t recall an email in Outlook

You cannot recall your message if the recipient has already opened it in Outlook. You may, however, configure Outlook to allow you more time to evaluate a message before sending it.

Outlook allows you to delay the sending of emails so that they do not go out immediately. If you’re frequently responding to emails, sending sensitive information back and forth, or simply making mistakes, you might want to start delaying or even scheduling your emails in Outlook. You may easily configure this for all your Outlook emails by following these simple steps:

  • In Outlook, click File in the upper-left corner.
  • Scroll down and choose Manage Rules & Alerts.
  • Your screen will be filled with the Rules and Alerts window. Select the New Rule option from this menu.
  • A further pop-up window will emerge. Click Apply Rule to Messages I Send here. This is placed beneath the Start from a Blank Rule. To proceed, click the Next button.
  • Don’t bother about the remaining conditions on the list, and then click Next to proceed. Following that, a confirmation screen will show. To confirm, press the Yes button.
  • Select the Defer Delivery option. By selecting the Number of Minutes option. Select the Several links. A pop-up screen will display, prompting you to select your chosen duration. Input the desired time (120 minutes is the maximum) and then click the OK button. After you’ve finished all of that, click Next.
  • Select the exceptions options you desire if you have any. Then, to proceed, click the Next button.
  • Give your rule a name and, if available, select the Turn on This Rule checkbox. After that, click the Finish button.
